Privacy Policy
This Privacy Policy explains how IronBase Technologies LLC ("IronBase," "we," "us") collects, uses, shares, and protects personal information when you use ironbase.tech, sniper.ironbase.tech, the IronBase mobile applications, our related applications, and our services (together, the "Platform"). By using the Platform, you agree to the practices described here.
1. Information We Collect
Information you provide. When you create an account, post a role, submit a candidate, complete a lead form, or contact us, we collect information such as your name, email address, phone number, company name, job title, payment information, job postings, candidate submissions, resumes, and messages sent through the Platform.
Candidate information. Recruiters and employers may upload or submit candidate information, including resumes, work history, and contact details. If you are a candidate whose information appears on the Platform, it was provided by a recruiter, an employer, or obtained from professional data sources, and is used solely for recruitment purposes.
Information collected automatically. We use cookies and similar technologies to collect device and usage information, including IP address, browser type, pages viewed, and interactions with the Platform. The mobile applications may also collect a device identifier used to deliver push notifications you have opted into.
Information from third parties. We receive professional profile and contact information from licensed data providers to power candidate search, and campaign interaction data from advertising platforms.
2. How We Use Information
We use personal information to operate the marketplace and tools, including to: create and manage accounts; connect recruiters, employers, and candidates; process payments and invoicing; provide AI powered features such as candidate grading, boolean generation, resume formatting, and outreach drafting; communicate with you about the Platform, including push notifications in the mobile applications; send marketing communications you can opt out of at any time; measure and improve the Platform and our advertising; detect fraud and enforce our terms; and comply with legal obligations.
We do not sell your personal data.
3. AI Processing
Certain features send data you provide, such as job descriptions, resumes, and candidate profiles, to AI service providers to generate gradings, summaries, search strings, and outreach drafts. This data is processed to deliver the feature you requested and is subject to the providers' data protection commitments.
4. How We Share Information
Between users. Job postings, candidate submissions, gradings, and messages are shared between the recruiters and employers involved in a role or placement.
Service providers. We use trusted processors to operate the Platform, including hosting and application infrastructure (Bubble, Cloudflare), payment processing (Stripe), candidate data (SignalHire), AI processing (OpenAI, Anthropic), document conversion (PDFMonkey, CloudConvert), email delivery (Flodesk, SendGrid), and analytics and advertising (Google Analytics, LinkedIn, Meta, Reddit). These providers process data on our behalf under their own security and privacy obligations.
Legal. We may disclose information if required by law, legal process, or to protect the rights, safety, or property of IronBase, our users, or others.
Business transfers. If IronBase is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction.
5. Cookies and Advertising
We use analytics and advertising tools, including Google Analytics, the LinkedIn Insight Tag, the Meta Pixel, and the Reddit Pixel, to understand how the Platform is used and to measure our marketing. These tools may set cookies and collect device identifiers. You can limit tracking through your browser settings and through the opt out tools offered by these providers.
6. Data Retention
We retain personal information while your account is active and for up to twenty four (24) months after account closure, unless a longer period is required for legal, tax, dispute resolution, or contract enforcement purposes. Candidate submission and placement records may be retained for the duration of applicable guarantee and ownership periods described in our terms of service.
7. Deleting Your Account
You can delete your IronBase account at any time. In the mobile applications, open the Me tab and choose Delete account. On the web, visit app.ironbase.tech/delete-account or email support@ironbase.tech from the address on your account.
What is deleted. Within 30 days of a verified request we remove your login credentials and the personal information on your profile, including your name, email address, phone number, and profile details, and we stop all communications to you. You will no longer be able to sign in.
What is retained. Records created through your use of the marketplace are kept after your account is deleted: candidate submissions, candidate records, placements, fee and payment records, and messages exchanged with other users. We keep these because they are part of other users' records, because they are needed to honor guarantee and candidate ownership periods and to enforce the non circumvention terms that protect every recruiter and employer on the Platform, and because they may be required for legal, tax, or dispute resolution purposes. Retained records are no longer linked to a usable login and are kept only as long as the purposes above require, after which they are deleted or anonymized.
Candidates. If you are a candidate who was submitted to a role on IronBase and you want your information removed, email support@ironbase.tech. We will verify your identity and respond within the time required by applicable law.
8. Your Rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent.
For users in the EU, UK, and similar jurisdictions: we process personal data on the legal bases of contract performance, legitimate interests in operating a recruiting marketplace, consent where required, and legal compliance. You also have the right to lodge a complaint with your local data protection authority.
For California residents: you have the right to know what personal information we collect, to request deletion, and to not be discriminated against for exercising your rights. We do not sell personal information as defined by the CCPA.
To exercise any of these rights, email support@ironbase.tech. We will verify your request and respond within the time required by applicable law.
9. International Transfers
IronBase is based in the United States, and information is processed in the United States. If you use the Platform from the EU, UK, or elsewhere, you understand your information will be transferred to and processed in the United States, and we take steps to ensure it receives appropriate protection.
10. Security
We use reasonable administrative, technical, and organizational measures to protect personal information, including access controls and encrypted connections. No system is perfectly secure, and we cannot guarantee absolute security.
11. Children
The Platform is for professional use and is not directed to anyone under 18. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version at ironbase.tech/privacy with a revised effective date, and material changes will be communicated through the Platform or by email.
